General Information

Starting a Club on Campus:

  1. Name one student who is willing to serve as the Student Representative and chose a student contact person for the club.
  2. Identify one staff member who is willing to serve as the Club Advisor.
  3. At least five currently enrolled BMCC students who are interested in active membership in the club.
  4. Complete the BMCC Club Charter Application Form: Club Charter Application Form 2019
  5. Optional: Create a club brochure to tell others and market your club. Find a sample here.

What to Consider:

  • What is the club’s purpose?
  • What are your proposed goals?
  • What do you hope to accomplish?
  • How will the club be structured? What officer(s) will you have? How will the officers be selected and for how long?
  • How often will you meet?
  • Will members pay dues?

Student Representative:

The student representative is responsible for the initial creation of the club. This individual should fill out and submit all paperwork associated with the club start up, obtain all signatures from interested members for the membership roster and serve as an initial contact for any questions that may need to be answered.


The staff/faculty advisor is a BMCC non-student employee who will serve as a guide for the club. The advisor should have an idea of what the group’s goals are as well as a clear understanding of the students’ expectations for the advisor. Advisors are most suitable when they are one who shares a common interest with the club. Club member responsibilities vary with the type of club, each club has its own structure. As a club member you represent your organization and BMCC. Club members are expected to follow and abide by the students’ rights and responsibilities and conduct code and represent the college appropriately at all club sponsored events. 


The leadership of the club is not the responsibility of one member or the advisor of the club; it is the responsibility of the group as a whole. The club may have a chairperson or president but they cannot be effective without the help and cooperation of the group and everyone involved. Leaders set examples for others to follow, introduce new ideas, help solve problems and settle differences and organize the group to accomplish goals.


Meetings are held to coordinate and sustain activity within the club. Club meetings are more successful if scheduled at the same time and location for the entire term or year. Work with members and advisor to determine what time and place would be best for your club. Ideally clubs should have meetings scheduled on a weekly or bi-weekly basis. Publicize club meetings to members, students and staff and inform the ASG office of the time and location of the meetings.

  • Prior to the meeting let members know when, where, & how long the meeting will be.
  • Define the goals of the meeting clearly for everyone.
  • Prepare an agenda and have the necessary supplies handy.
  • Designate a person to take minutes.
  • Be prepared to assign and accept tasks as delegated by the club.
  • Begin on time!
  • Encourage brief discussion and be creative.
  • Clarify decisions made so that everyone understands.
  • Delegate responsibilities accordingly and be clear when establishing deadlines.
  • Be prepared, effective, and supportive.


A constitution is an effective way to establish these procedures in order to conduct business. The constitution sets forth the general principles upon which an organization is established, as well as membership requirements and designated officer responsibilities. In addition, a constitution establishes basic principles for the future providing continuity and history for the club. The constitution should include the organizations name, statement of purpose, membership information with a non-discrimination statement, officers and their duties, meeting information, advisor information and any amendments that should be passed by a (2/3) majority vote of members presiding at the meeting.

Event and Program Planning:

Each event is different, but there are some guidelines in the way you approach the planning process. Get a clear understanding for the purpose of the event and set goals for that event. How many people do you expect? Determine what you want the attendees to gain from the event. Set your budget as a top priority, how much are you able and willing to spend? Will the event bring in revenue? Select a date and location for the event and market your event to your intended audience.

Recruitment, Networking and Visibility:

A club webpage is the main marketing tool for recruitment to your club. Contact the Student Outreach and Recruitment office to set up an appointment to create your webpage on the BMCC website, this will allow you to refer anyone who is interested to this source for information and applications.

Social networking sites the club advisor should work closely with college marketing staff to ensure all networking is approved before using the BMCC logo, name or creating any profiles that should have the college name on display.

Flyers around campus must be approved, please see your advisor for more information about posting flyers on campus. Here is a sample flyer that must be approved by club advisor and the BMCC marketing department.

Club fairs are another way to recruit members, work closely with the ASG Student Outreach Coordinator to be aware of any student events going on where there will be a club fair.

Student Rights, Responsibilities and Conduct College Policies and Administrative Rules

All students and student groups and organization must abide by the Students’ Rights and Responsibilities conduct code and all college policies and administrative rules. Students or student groups who choose not to abide by these standards may be subjected for review. Violations of the conduct code, college policies and administrative rules may end in club charter suspension or revocation. For additional information please visit:
