Position Summary

Responsible for BMCC Milton-Freewater’s receptionist and clerical duties occurring during afternoon and evening hours.  Performs all functions and activities within the guidelines and philosophy set forth in the BMCC Mission, Vision and Strategic Plan

Essential Function

Greets the public and answers telephone calls; assists students, staff, and the public with questions, giving information as appropriate; routes calls and walk-ins to appropriate personnel; takes and delivers messages.

Closes the building at the end of the day.  Checks doors periodically during working hours.  Is aware of use and security of building and contents during working hours.

Monitors heat, air, lights, security system.  Calls for repairs and adjustments as needed.

Monitors the use of all office equipment, including the copy machine, during evening sessions.

Is familiar with the scheduled room use for evening classes and assists students and instructors as needed in those areas.  Is alert for conflict and notifies AVP of such problems.

Coordinates efforts with day secretary/receptionist and assists with filing, typing, computer entry and student/staff communications, as necessary.

Register and receive tuition payments for students into their requested classes. 

Enter all registration data into the mainframe system according to the procedure.

Within two months of hire, must be trained in AIS modules such as Accounts Receivable, Student Management and Course Management

Handles book sales

Proctors tests

Perform light maintenance or janitorial duties as needed.

Responsible for records of all Special Program students and assists students with kiosk registration.

Responsible for the operation of interactive video, and polycom, for evening courses.

Monitor and trouble shoot for the ITV Codian

Other duties as assigned.

Knowledge, Skills and Abilities

Must be well-organized and able to work without a lot of supervision.

Must understand, possess and use a high level of customer service when dealing with all constituents of the College.

Must be able to sit in one position for an extended period of time.

Must be able to read and understand a video display terminal.

Must be able to operate cash register, count money, and balance money transactions.

Must be able to type and keyboard accurately.  Approximately 40 words per minute preferred.

Must be proficient in MS Word, and willing to learn MS Excel.  Must be able to understand and use campus-wide administrative information system (AIS) Wolftrax within 60 days of hire.

Must possess knowledge of or be willing to learn and apply, within 60 days of hire, Federal Student Financial Aid regulations and the Family Education Rights and Privacy Act.

Once learned, must effectively apply knowledge of office and College policy and procedures.

An alert sense of security and awareness of physical surroundings required.

Required Education/Experience

A high school diploma or equivalent required.

At least one year of prior receptionist or office experience required.

Bi-lingual skills in Spanish/English preferred

Other Aspects of the Position

Position has a schedule that varies from 4:00 to 10:0 p.m. Monday through Saturday evenings.

Must be able to lift boxes of 20 to 30 pounds.
